Everything you need to know about Greenstamp and Mexican invoicing

About Greenstamp

Greenstamp is an AI-powered platform that helps US companies create compliant Mexican electronic invoices (CFDIs) in minutes—entirely in English. We handle all the complexity of Mexican tax requirements so your finance team doesn't have to learn Spanish tax terminology or navigate SAT systems.

Greenstamp is built for US companies with Mexican operations—whether you have a subsidiary, manufacturing facility (maquiladora), or sell to Mexican customers. We're especially popular with mid-market companies (50-500 employees) in manufacturing, automotive, and electronics sectors.

Traditional accountants (contadores) typically take 2-3 days to create each invoice and charge $300-1,000/month. With Greenstamp, your own team creates compliant invoices in under 5 minutes, with AI catching errors before submission. You stay in control of your invoicing and save significant time and cost.

Most CFDI software is designed for Mexican companies and built entirely in Spanish. Greenstamp is English-first, designed specifically for US companies who need to comply with Mexican invoicing requirements but don't have Spanish-speaking finance teams. Our AI validation explains SAT rules in plain English and catches errors before they cause rejections.

Our interface is English-first, but the generated CFDIs comply with all SAT requirements and include the necessary Spanish fields. The invoices you send to your Mexican customers will be fully compliant and readable in Spanish. We're working on adding Spanish interface options for teams that prefer it.

Getting Started

You'll need your Mexican entity's CSD certificates (Certificado de Sello Digital) from SAT. These are the digital certificates that allow you to sign invoices. If you don't have these yet, we can guide you through the process of obtaining them from SAT.

Once you have your CSD certificates, setup takes about 15 minutes. You'll upload your certificates, enter your company information, and you're ready to create your first invoice. No complex integrations or IT involvement required.

No. Greenstamp is cloud-based and can be accessed from anywhere. Your finance team in Dallas, Chicago, or anywhere else can create Mexican invoices just as easily as if they were in Mexico City. That's the whole point—we bridge the gap between US operations and Mexican compliance.

Absolutely—that's exactly who we built Greenstamp for. Your US-based team doesn't need to know Spanish or understand Mexican tax codes. Our English interface and AI validation guide them through the process, catching errors and explaining requirements in plain language.

We can help guide you through the process of obtaining CSD certificates from SAT. The process typically requires your Mexican entity's RFC (tax ID) and e.Firma. Contact us and we'll walk you through the steps or connect you with resources to get set up.

CFDI & Compliance

CFDI is Mexico's mandatory electronic invoicing system. Any business operating in Mexico must issue these digital tax receipts for all transactions. Learn more in our CFDI Guide →

Yes. If your company has any Mexican operations—a subsidiary, manufacturing facility, or sales to Mexican customers—you're legally required to issue CFDIs. Non-compliance can result in significant penalties and inability to claim tax deductions. See penalty details in our CFDI Guide →

Greenstamp's AI validation catches most errors before you submit, so rejections are rare. If you do need to fix an invoice after it's stamped, you can initiate a cancellation request through our platform. The receiver has 72 hours to respond. Learn about cancellation rules →

Every invoice goes through our AI-powered validation before submission, checking against SAT's CFDI 4.0 requirements. Once submitted, invoices are certified by an authorized PAC (certification provider) and registered with SAT. You'll receive a stamped XML with a unique UUID—proof that SAT has validated your invoice.

Features & Integrations

We integrate with QuickBooks, NetSuite, and Xero. Our integrations allow you to sync customer data and keep your US and Mexican books aligned. We're continuously adding new integrations based on customer needs.

Security & Data

Yes. We use AES-256 encryption for all data at rest and in transit, including your CSD certificates. Our infrastructure is built on enterprise-grade cloud services with SOC 2 Type II compliance. We never share your data with third parties.

Your data is stored in secure, geographically redundant data centers. CSD certificates are stored in isolated, encrypted vaults with strict access controls. All data handling complies with both US and Mexican data protection requirements.

CSD certificates are encrypted with AES-256 and stored in isolated vaults. They're only decrypted momentarily during the invoice signing process, and access is logged and audited. Your certificate passwords are never stored in plain text.

You control who has access to your Greenstamp account. You can invite team members with different permission levels—some users can create invoices while others have admin access. All access is logged for audit purposes.

Support

All customers receive email support with responses within 24 hours. Our support team is US-based and understands the unique challenges of US companies operating in Mexico. We speak your language—both literally and figuratively.

Email support is available 24/7, with responses during US business hours (9am-6pm CT, Monday-Friday). Urgent issues are prioritized and addressed as quickly as possible.

Yes. We provide guided onboarding to help you set up your account, upload certificates, and create your first invoice. We'll make sure your team is confident using Greenstamp before we consider you fully onboarded.
